Customer Service and Administration Manager (m/f/d)

We are looking for a Customer Service and Administration Manager.

Your tasks

Handle customer RFQs, quotations, and order processing for customers in Southeast Asia
Place orders for necessary materials with INGUN’s headquarters in Germany and track shipments
Coordinate with logistics, warehouse, and sales teams to ensure timely deliveries and resolve order-related issues
Maintain accurate customer records, pricing, and order status
Serve as the point of contact for customers regarding order updates, inquiries, and after-sales support
Work closely with the sales team to ensure customer needs are met and to support business growth
Monitor inventory levels and ensure stock availability for customer orders when needed
Collaborate with the Finance department to manage invoicing and payment processing
Assist in improving internal customer service processes to enhance efficiency and customer satisfaction

Your skills

At least 3 years of experience in customer service, order management, or sales support
Strong knowledge of ERP systems (preferably Microsoft Dynamics) and order processing workflows
Good understanding of international trade terms and processes, including import/export regulations
Excellent communication skills in English (additional languages such as Mandarin, Malay, or Thai are a plus)
Strong problem-solving abilities, with the ability to handle customer inquiries professionally
Detail-oriented, organized, and able to multitask in a fast-paced environment
Experience in electronics, manufacturing, or technical industries is advantageous
Familiarity with Southeast Asian markets and customers
Ability to work independently while being part of a regional and global team
